The
Manage tab is where you can access and email system usage reports, archive jobs, manage asset requests, and create and manage galleries.
EditArchive
- A job on GLOBALedit can be copied to an external location in a predefined organized hierarchy using Archive.
- To setup a predefined Archive Route (on the Admin side), see the Archive section on the Accounts page.
- Choose Manage > Archive.
EditCreate New Archive
- To create a new Archive, click the Create New Archive button.
- Choose the job or folder from your job tree that you would like to archive.
- Choose an predefined archive template (done on the Admin side).
- Specify a new archive name, or choose an existing one.
- Specify recipients to be notified about the completion of the archive job.
- Click the Preview button to view the folder structure of your archive job.
- Click Start Archive.
EditArchive Status
- Monitor your archive's status through the Archive Status page. This will automatically launch when you start an archive, and can be accessed at any time by clicking on the archive name from the Archive page.
- You can pause, restart, or stop the archive progress at any time.

- Click Details to see status and file size of the files being archived.
- Click Report to generate an Archive Report that can be saved or printed.
EditAsset Requests
- The Asset Requests tab allows you to view pending asset requests, approvals, and denials if you are an asset rights manager.
- Click Manage > Asset Requests.
- Choose A Status and Choose A Time Frame using the drop down menus.

EditPending Requests
- Pending Requests shows asset requests made by other users.

- You can click Approve to give the user access to the image, or Deny to turn down their request. If you deny a request, you can specify an explanation for your denial.
- Hover over the magnifying glass to view a thumbnail preview of the image.
EditApprovals
- Approvals shows asset requests you have approved.
EditDenials
- Denials shows asset requests you have denied, as well as explanations you have specified.
EditDropboxes
- Dropboxes allow photographers and other third-party users to directly upload assets into the GLOBALedit system.
EditCreate and Send a New Dropbox
- Click Manage > Galleries.
- Click the Create New Dropbox button located under the search field.

- Specify Dropbox Name.
- Choose the Uploader to whom you wish to send the Dropbox. Once you start typing, related names and emails will autofill. Use your mouse or keyboard to choose the desired user. Dropboxes can only have one recipient.

- Specify Notes and Expiration Date if desired, and press Next to continue.

- Select a job from My Library or click New Job, which will allow you create a new job and specify user assignments. This will be the destination to which the Dropbox files will be uploaded. Click Next to continue.

- Click Apply metadata to all uploads to specify any metadata you wish to have appended to incoming files.
- Click Require user to enter metadata to specify any metadata you wish to have the uploader append to uploaded files.
- Click Next once you have set up all your metadata fields.

- Specify Email Subject and Email Message. You can also set up recipients to be cc'ed on the email notification, as well as dropbox completion notification recipients. Click Next when ready.

- Here, you can review your Dropbox settings. Click Next when you are ready to send your Dropbox.
EditTrack Dropbox Progress
- The Dropboxes page will display all the dropboxes created within your account. A status of a gallery will be listed as In Progress, Done, or Expired.
EditUpdate Dropbox Information
- Click on the Dropbox Name to view information on a dropbox.
- You can edit dropbox parameters or generate a report of uploads made.
EditGalleries
- Galleries allow lightboxes or folders to be sent to other GLOBALedit users within a simplified interface to approve or kill images.
EditCreate and Send a New Gallery
- Click Manage > Galleries
- Click the Add New button located under the Search field.
- Select a Lightbox or a Library folder as the source for your gallery images, and press Next to continue.
- Enter the Gallery Name in the text field, choose the Kill or Approve Rating Type, the Kill Percentage if needed, and the Expiration Date field.
- Check Apply Account Watermark to watermark the gallery images.
- Check Allow Notes to allow the gallery recipient to communicate about the images.
- To send multiple Galleries within one e-mail press the Create Another Gallery button.
- Click Next once you have set up all your galleries.

- Enter in the required fields noted in red.
- Recipients are the users who will receive the gallery. Sending a gallery to multiple recipients will allow them to share edits and collaborate. Once one of the recipients submits a report, the gallery will become inaccessible for the other recipients. Please note that approval galleries can only be sent to GLOBALedit users.
- Send email to recipients will send an approval gallery notification email to the recipients. If you uncheck this, the gallery will be created but no email sent.
- CC Recipients will only receive a copy of the email notification, but not be able to login to view images or make kills.
- Report Recipients are the users will receive the .pdf report and email notification when the gallery has been finished.

- Press Next to review your galleries and send.
EditApproval Gallery Keyboard Shortcuts
- Use the keyboard shortcuts below to navigate your approval gallery.
- Up, Down, Left, Right – navigate the image thumbnail grid
- Enter – view large image in grid
- Escape – revert to grid view when in large view
- X – Kill image (if in kill mode)
- A – Approve image (if in approve mode)
EditTrack Gallery Progress
- A status of a gallery will be listed as Not Started, In Progress, Done, or Expired.
EditUpdate Gallery Information
- Click on the Gallery Name to view information on an approval gallery.
- You can edit any of the gallery parameters:
- Name - Change name of the gallery
- Status - Change the status of the gallery to reopen or close.
- Not Started
- In Progress - the recipient has made at least one kill
- Expired - the gallery has past its due date and is unaccessible to the recipient
- Done - the gallery has been marked as finished by the recipient
- Add recipients - add additional users to have access to the gallery
- Send a message - send a reminder notification email to recipients
- Kill Percentage
- Expiration Date
- Watermark
- Allow Notes

- You can also change the expiration date of an approval gallery directly from the Manage page. To do so, click on a desired gallery's expiration date, which will give you the calendar menu.
EditReports
- Detailed reports can be generated to monitor system usage and account status; they are created within a specified account and time frame.
EditReport Types
- Downloaded Items - all items downloaded within an account.
- Downloaded Items by User - all items downloaded by each user within an account.
- Downloaded Items by Type - all items downloaded by type: file, file package, contact sheet, lightbox, or all.
- Processed Download Collections - all file packages created and downloaded.
- Processed Contact Sheets - all contact sheets created and downloaded.
- Ingested Files - files ingested (via jobs uploaded).
- Custom Generated Images - images generated through the Image Generator feature in the Image Editor.
- Talent Approvals - all unkilled images within an account's job.
EditCreate a Report
- Choose your desired report from the list of System Usage Reports. A Report pop-up window will appear.
- Select an Account and choose a Time Frame.
- Click Generate to create your report.
- You can hover over a file name to see a thumbnail of the image.
EditDownload a Report
- Export a report and save to your desktop as a PDF, TXT, or CSV file by clicking the disc icon located in the right corner of the report generator.
EditEmail a Report
- You can e-mail a generated report by clicking on the 'Email Report' tab in the Report pop-up window.
- The report is e-mailed as a .pdf attachment to the recipient.
