Overview

Welcome to Smart Collections, an intuitive feature that allows users to automatically add assets to a Collection based on asset control rules. Group assets across your Library into a separate, single location for additional organization and collaboration. Like any Collection, Smart Collections are private to the creator until it's shared with other users, who's permissions are controlled on each Collection shared. Adjustments and updates to assets within a Collection are recorded throughout your Library, preserving all workflow history wherever the assets are visible.

When to create a Smart Collection:

“I’d like specific users to only see and/or download assets I share with them”

“I want to send assets to my retouchers so they can use the Photoshop Plugin, and so I can quickly review new Versions they upload."

“I need to deliver final assets to my client for download and want to avoid them shifting through folders in our Workspace to find them."

“My team needs a single location to collaborate on the specific assets involved in our project.”

"I need to focus my (and others) attention on only 25 assets out of the hundreds uploaded to my Workspace."

Create New Smart Collection

Begin by selecting the Collections tab within your Globaledit Library.

Once within the Collections area of the Library, click on the 3-dot action key to the right of the All Active dropdown within the Collections Panel. Then click on New Smart Collection.

Once selected, a Create New Smart Collection drawer will slide from right of screen allowing users to build there new collection.

• Under General, Name the Smart Collection and include a Description (optional).

Setting Assets Control

Asset Control gives users the ability to set parameters that will determine which assets will automatically add to the Smart Collection.

Select if Asset(s) should match ALL selected parameters; the assets will have to include each parameter chosen.

Select if Asset(s) should match ANY selected parameters; the assets will only need to include one of any parameters chosen.

The chosen parameters will appear within the text box under Selected Parameters

Users have the option to add assets from only specific Workspace(s)/Folders or add from their entire Library. To adjust, click the checkbox next to Add only from selected Workspace(s)/Folders

Once selected, click within the text field to reveal a list of Workspaces within your Account. Either click the workspace to select it, or click the > arrow to reveal the subfolders within the selected workspace.

To finish and create the New Smart Collection, click Save.

Accessing Smart Collection

The New Smart Collection will appear within the Collections Panel. Click on the Smart Collection to view the assets that have been added within. 

Sharing Smart Collection

Members can be Invited to a Smart Collection by clicking on the 3-dot action key to the right of the the Smart Collection within the Collections Panel. Once the sub menu appears, hover over Share, then click, Invite to Collection.

An Invite People to "Smart Collection" menu will appear allowing users to enter recipient email(s), add an optional note, set an optional expiration date and determine general, download, and ratings policies. These permissions can also be adjusted after the user has been added to the Smart Collection.

Click Next to move onward to the confirmation page. Then click Invite to finalize and send an invitation to the user. The globaledit user will have immediate access to the Smart Collection.
