Creating an Approval Gallery is an easy way to send assets to Talent and/or Reps to review assets for Approval or Kill status. Creating an Approval Gallery can be completed within the library or the Gallery Manager. Editing and removal of assets can be made at time of gallery creation.
- Create an Approval Gallery from your Library
- Create an Approval Gallery within the Approvals Manager
Create an Approval Gallery from your Library
- Select Asset(s) within Workspaces or Collections
- Hover over a selected asset, then right click, then hover over Approval Gallery in the modal
- Select either:
- Add to Existing - Adds Asset(s) to an existing gallery
- Add to New - Create and add asset(s) a new Approval Gallery
When Add to Existing is selected, a page will appear that will allow the user to set up the new gallery.
Gallery Info
By default, within the Gallery set up page, Gallery Info will be shown, allowing the user to fill in key details about the Gallery.
Users will then need to fill in details within the Gallery Info page:
- Gallery Name *required
- Note (Internal: not visible to Talent / Rep)
- Series
- Season
- Episode
- Movie
- Show Code
- Project Code
- Location
- Photography Type
Talent
Next click on the Talent tab:
Select the dropdown arrow under Add a Member. Here we will add our Talent User.
Tip: If no talent users are revealed, you will need to invite the talent user to Globaledit.

Once the Talent User has been selected, users can now adjust the Gallery's Type, Rate, Expiration, Add Note, and Add a rep fields.
Type:
Select Approve or Kill
Rate:
Enter a percentage based on the number of assets that the Talent (or Rep) needs to select for Approval (or Kill)
Expiration (Midnight ET):
(Optional) Click the Date of Expiration field, then select a date in which the Gallery will be inaccessible after its passing
Add note:
(Optional) Click the blue Add Note hyperlink to reveal an Invitation Note text box. The message added will be included in the Gallery's email invitation.
Add a rep:
(Optional) Select the dropdown arrow next to Add a rep. Select the Rep User.
The Rep User will be able to access the Gallery on behalf of the Talent User.
Edit & Remove Assets from Gallery
Select button at the top of the gallery settings page to preview how the assets are arranged within the Gallery.
Within preview mode, the assets can be, sorted by filename, added date, and custom (rearranged to a specific order). In order to rearrange the assets, click and hold onto an asset then drag it to a different position.
Delete an asset(s) from the gallery by selecting it then clicking the button.
Publish Gallery
Select Save as Draft to retain the ability to adjust fields within the Gallery Info and Talent tabs.
Selecting Publish will reveal the confirmation page. Select Publish to send invites to the Talent (and Rep if included on the gallery).
Tip: Once a gallery is published (shared with a talent), edits and removing assets are no longer available in the gallery.
History
Click on the History tab to review recorded events related to the gallery.

- Addition of Talent/Rep to Gallery
- Edit of assets within Gallery
- Gallery invitations
- Talent/Rep access of Gallery
- Talent/Rep submission of Gallery
Create an Approval Gallery within the Approvals Manager
Ån Approval Gallery can be created within the Approvals page. Navigate to this page by clicking on Approvals at the top of the webpage.
- Select the blue New Gallery button at the top right of the platform
- Name the Gallery & input data into applicable fields
- Select Save As Draft
- Go back to the Library
- Select Asset(s), right click, choose Approval Gallery from the drop down menu
- Select Add to Existing
- Select title of your Approval Gallery in the list
- Select Add
